DOCX — The Safest Choice

DOCX (Microsoft Word format) is the most reliably parsed format across all major ATS systems. Here's why:

  • It's an open, well-documented format
  • ATS software has been parsing DOCX for decades
  • Text flows in a predictable order
  • Headers, footers, and tables are handled consistently

PDF — Better for Humans, Risky for ATS

PDF is great for preserving your layout, but many ATS systems struggle with it:

  • Selectable text PDF (saved from Word/Google Docs) — Usually parsable
  • Scanned PDF (from a printer/scanner) — Not parsable, treated as an image
  • PDF with special fonts — May cause character recognition errors

How to check if your PDF is ATS-friendly:

  1. Open the PDF and select all text (Ctrl+A)
  2. Copy and paste into a plain text editor
  3. If the text appears correctly without garbled characters or missing content, your PDF is parsable

Plain Text — Maximum Compatibility

Plain text (.txt) is the most universally compatible format. Every ATS, database, and system can read it. But it lacks formatting — no bold, no italics, no bullet points.

Formatting Rules for Any Format

Regardless of which format you choose:

  • Single-column layout — Multi-column confuses ATS
  • Standard fonts — Arial, Calibri, Helvetica
  • No tables — Text inside tables may be read out of order
  • No headers/footers — Many ATS systems skip text in headers and footers
  • Standard section headings — "Work Experience" not "Where I've Worked"
